What a user can see and use

Why a user does not see a menu item, why the Subscription required page appears, and when an overdue invoice can restrict functions.

Every function in the system (list, add, edit, delete, download…) is a separately assignable right. What a user sees and can use is decided by the functions assigned to them, together with the validity period of each assignment.

Three states

StateWhat the user sees
not assignedthe menu item and the button do not appear at all
visible onlythe function is shown, but clicking it opens the Subscription required page with the plans that contain it
usablethe function works with the assigned limit and validity

If the same function is assigned more than once, usable wins. Basic system functions (for example viewing your own balance) are open to every signed-in user. The super administrator sees and uses everything.

What to do if a function is not available

  1. If the menu item does not appear at all, the function is not assigned to you. Ask your administrator; they assign it under Users → Function permissions (Assigning function permissions).
  2. If the Subscription required page appears, the function is visible but not usable. The page lets you choose among the plans that really contain it, or order the function on its own (Subscription offer).
  3. If the page says the function is restricted because of an overdue invoice, there is nothing to buy: once the invoice is settled the function is available again.
  4. If a function has a limit (for example a number of users or invoices), follow usage and allowance under Subscription → My subscription (Credit account and my subscription).

Content permission

Besides the function permission, the content permission also counts: only the data of companies, invoices or events the user has content permission for are shown. The administrator sets this (Content permissions).

Restriction because of an overdue invoice is switched off by default, and when switched on it allows a grace period.

Example

Péter Szabó uses the invoice list, and the tax-authority lookup button is shown to him, but only as "visible only". He clicks it and the Subscription required page offers two plans that contain the function. After ordering, the button works at once.
