Subscription definition: what the plans contain

In a subscription offer you set which plans can be chosen, at what price, and per plan which functions, products and services are included, with which limits.

A subscription definition is an offer: it lists the plans that can be chosen with their commercial terms, and per plan their content. This is the screen where functions are put into plans. What you assign to a plan here is what a user receives when the plan is loaded or ordered.

Before you start

The plans must exist and be active (Subscription plans). Products and services must be active master data.

Building a definition

  1. Open Subscription → Subscription definition and click Add, or the blue pencil icon in an existing row.
  2. Fill in Subscription name (required), Code, Client, Description, Version, Valid from, Valid to, Stores, Availability, Sort order and Status.
  3. Search for and add a plan in Add a plan to this subscription.
  4. Per plan set the Billing cycle (Monthly or Annual), Subscription price, General discount % and Annual discount %.
  5. In the item search of the plan block look for a function, product or service by name or code and add it with Add item.
  6. Per item set Limit, Unit, Included, Unit price, Overage price, Discount % and, if shown, Renewal, Rollover, Overage, Pricing rule and Priority.
  7. Click Save.

Good to know

  • If a function has a parent function, saving adds the parent to the same plan automatically, without limit.
  • Discounts are kept between 0 and 100; for an item without a limit the limit fields are cleared.
  • Only a company you have content permission for can be chosen as client: "You do not have access to the selected client company."
  • A definition from which permission rows have already been created cannot be deleted; the message gives the number of rows.
  • The search finds every active function, with at most 12 hits per search.

Example

You add the Basic and Business plans to the "Office subscription" definition. Basic gets the invoice list and invoice recording with a limit of 50 invoices a month; Business gets the same without limit, plus the tax-authority lookup. After saving, the Business plan also contains the parent function of the invoice functions.
