Watermarked folder download and package issue

Download the whole content of a shared folder with a watermark, or issue a watermarked, optionally password-protected package to one user of the folder.

You can hand out the content of a shared folder with a watermark in two ways: download the whole folder for yourself, or issue a package to one user of the folder with a watermark in their name. Every issued file is recorded in the issue register.

Downloading the whole folder

  1. Open Document → Folders.
  2. In the shared folder's row click the three-dot icon and choose Download the whole folder (watermarked ZIP).
  3. While the package is being prepared, "Preparing the watermarked copy…" is shown; then the download starts.

Issuing a package to a user

  1. Open the shared folder for editing (Edit name / hierarchy icon).
  2. In the right column click the box icon on the user's card (Issue a watermarked package to this user).
  3. Check the recipient in the window. For a password-protected package enter a password of 8–128 characters in Package password (optional).
  4. Click Prepare and download. You download the package and pass it to the recipient; give them the password separately.

Rules and messages

  • Only PDF and image files can be watermarked; other files are left out: "Not included (cannot be watermarked): …". If none can be watermarked: "None of these files can be watermarked (only PDF and image files can be downloaded)."
  • A package can be issued only to a user assigned to the folder: "The package can only be issued to a user assigned to this folder."
  • For an NDA-required folder the recipient must have a valid agreement, otherwise the issue does not start.
  • A password that is too short or too long: "The package password must be 8 to 128 characters long." The system does not store the password.
Every file in the package carries the recipient's name and a unique code. You can look the code up in the issue register.

Example

Péter Szabó is a user of the "12 Sample Street — sale documents" folder. The administrator issues him a package with a password; it is an AES-256 encrypted ZIP, each PDF carries Péter's name and a unique code, and the password is given to him by phone. In the issue register the row shows "issued by Anna Kovács" and the AES-256 label.
