Uploading documents

Uploading files to the document centre: target company and storage, several files at once, large archives, direct Drive upload, type, labels and object link.

When uploading you state which client company the file belongs to, and the system stores it according to the company's settings (local storage, Google Drive or OneDrive). Several files can be uploaded at once; large files go up in chunks or directly to the Drive.

Uploading step by step

  1. Open Documents and click the blue + button at the top right.
  2. Choose the Client Company (required).
  3. If the file should not go to the company's default place, choose Storage account, Target storage and Target folder; Create folder opens a new folder. A remote storage requires a folder.
  4. Select the files with Choose file; several are allowed.
  5. As needed set Document type, Labels, Add to shared folder (optional) and Linked objects (for example an invoice).
  6. Click Save. The files upload one after the other and the answer reports the result per file.

Large files and archives

  • For a large file use Upload archive: it goes up in chunks and the system checks its size and fingerprint at the end.
  • With Upload to the Drive the browser sends the file directly to Google; the record is created only when the Drive confirms size and folder.
  • If the setting allows it and you have the right, you can choose the upload mode on the form; otherwise above a size the system picks the direct Drive upload itself.
  • An invoice package (ZIP) containing only PDFs can be uploaded too; it is unpacked in the background.

What else does the system do?

  • If the same file is already in the same place, it is not uploaded again; uploading it to another folder creates no second copy, only another reference.
  • Text is extracted from PDFs in the background, and images that look like invoices are sent for recognition.
  • When an invoice image is uploaded to an invoice, the empty invoice fields are filled from the image.
If the request was too large for the server, the system warns about this specifically; upload fewer files at a time or use Upload archive.

Example

Sample Ltd.'s invoices must go to the Drive folder "Invoices/2026" per the company setting. Choose Sample Ltd. in Client Company, select three PDFs and save: the files go to the Drive folder, and text extraction and invoice recognition start in the background.
