Sharing and moving
Quick share link with expiry and password, putting documents into a share folder, and moving them to another storage while keeping their links.
There are three ways to make a document available or rearrange it: a quick link for an outside recipient, a share folder for portal users, or a move to another storage.
Quick share link
- In the document's row menu click Quick share link.
- Set Expires in in hours (72 by default), if needed Password (optional), and decide on Allow download.
- Click Generate link, then copy it with Copy.
- Earlier links are listed in the same place; Revoke link invalidates one immediately.
The full link is shown only when it is created; later only its details (expiry, download) are visible. If it is lost, create a new one.
Adding to a share folder
- Select the documents in the list and click Add to share in the header.
- Choose an existing share folder or type a new name: if a folder of that name exists, it is reused.
- Save. The documents enter the folder without copying files; remove a single link with Remove relation.
A whole storage folder can also be shared with Create shared folder from this folder.
Moving to another storage
- Select the documents and click Move in the header.
- Choose Target storage account and Target folder (for local storage Target local folder (root = storage/)). A Drive target requires a folder.
- Start it. The document id and all links remain; only the file's location changes.
Example
An auditor needs to see a contract for two days: create a 48-hour, password-protected quick link without download from the row menu and send the password separately. Revoke the link after the review.
