Document details, links and labels
Editing document details, linking to invoices, contracts and other objects, labelling, document type, download permission and making a PDF from an image.
A document is most useful when you know what it belongs to. You can link it to an invoice, a contract, an e-mail or another object, mark it with labels and set its document type.
Editing the details
- In the Documents list click the blue edit icon of the row.
- Change Name, Document type, Labels and Stores (websites). If you choose another Target folder for a Drive or OneDrive file, the file is moved as well and the result is checked.
- Click Save.
When the invoice image type is chosen, the file is renamed after the linked invoice.
Linking to an object
- On the form, under Link object, choose the type (e.g. invoice, contract, voucher, task, event, e-mail).
- Type the name or number; matches are limited to the document's company.
- Choose the match. Remove the link with Remove this object link; the system then tells how many links remain.
Bulk actions in the list header
- Assign label: puts a label on the selected documents; Enter creates a label that does not exist yet.
- Set document type: e.g. invoice image, contract, delivery note, statement, receipt, tax account, tax return, backup, attachment.
- Set downloadable / Set view only: on the portal a file can be downloaded only if its folder allows it too.
- Build thumbnails: creates missing thumbnail images.
- In the row menu the green tick and the yellow ban sign enable and disable the document.
For an image file (JPG, PNG, WEBP) the PDF button of the preview window creates an A4 PDF version on the same storage, with all links of the original.
Example
Mark a scanned supplier invoice with the "invoice image" type and link it to Example plc's invoice SZ-2026-0012 by typing its number. The document then also appears on the invoice's data sheet.
