Wallets: balances and manual credits

How to check the balance, reserved amount and entries of the clients' wallets, and how to record a manual credit or debit.

A wallet is the money balance of a client (more rarely of a user) in the system: top-ups, payments, reservations and reward credits are recorded here. Under Wallets the balance and every entry can be traced, and a manual correction can be recorded.

The list

  1. Open Subscription → Wallets.
  2. Filter with Company group, Owner type, Owner, Currency and Status, then click Filter.
  3. Each row shows the Balance and the Reserved amount; a negative balance is flagged separately.
  4. The grey double-arrow icon at the bottom right of the row (Entries) opens the wallet's entries: event, amount, currency, source, reference, state, expiry and date.

Manual credit or debit

  1. Click the blue pencil icon (Credit / debit) in the wallet's row.
  2. Enter a positive number in Amount for a credit, a negative one for a debit.
  3. In Reference say why the correction is made (for example the number of a letter or invoice).
  4. Click Save. The entry is added to the wallet as a manual correction under your name.
A debit cannot take the balance below zero. In that case the system says: "The entry could not be recorded. A debit larger than the balance is refused." For a zero amount: "Enter a non-zero amount."

Who sees what?

Users only see the wallets of clients they have content permission for. User wallets are shown only to the system administrator.

Example

Sample Ltd.'s wallet has a balance of HUF 15,000, of which HUF 5,000 is reserved. Because of a complaint it receives a credit of HUF 3,000: with the pencil icon the amount 3000 and the reference "Complaint 2026/11" are recorded. The balance becomes HUF 18,000 and the manual correction appears among the entries.
