Folders: storage folders and share folders

Registering folders on the storage and managing virtual share folders in one list: creation, renaming, documents, users and Drive permissions.

The Folders menu shows two kinds of folder in one list. A storage folder is a real folder on local storage or Google Drive. A share folder is virtual: it groups documents and users without copying files, for sharing through the portal.

New folder

  1. Open Folders and click the blue + button at the top right.
  2. Choose the Folder type.
  3. For a share folder enter Name (unique), Parent folder (virtual hierarchy), Stores (websites) and Users (Valid from, Access until).
  4. For a storage folder choose Client Company, Storage and, for Drive, Storage account, Target storage and Target folder; for local storage Local parent path (optional). If needed, switch on Create shared folder too.
  5. Click Save.
The same storage folder cannot be registered twice. A Drive folder requires the company to have a linked Drive account.

Managing a folder

  • Edit name / hierarchy: rename or move; this happens on the Drive and on local storage too.
  • Share settings (users, documents): add documents by search, and the Remove from this folder (the document and the file are kept) button.
  • Drive permissions (key icon): list of the Drive folder's permissions; add one with Email address and a role (reader, commenter, writer), or revoke one.
  • Open in Documents: the folder's documents in the document centre.
  • Activate and deactivate with the row icons.

Deletion

A storage folder registration can be deleted only if it holds no documents; the physical folder is kept even then. Deleting a share folder keeps the documents; only the folder goes.

Example

For the sale of a property Sample Ltd. creates the share folder "Data room – Minta utca 1", adds the floor plan and the title deed, and assigns Péter Szabó as user for 30 days. On the portal Péter Szabó sees only this folder.
