Managing tasks

Adding tasks for a company or a parent task with assigner, assignees, watchers and deadline; recurring tasks and the weekly summary e-mail.

In Tasks you record to-dos: who has to do what and by when, which client company it relates to and who follows it. Assignees receive a weekly summary e-mail of their open tasks.

Adding a task

  1. Open Tasks → Tasks and click the blue + button at the top right (Add).
  2. Fill in Title and Description.
  3. Choose the company in Client company and, if the task is part of a bigger one, that task in Parent task.
  4. Choose the Assigner and add the people involved to Assignee(s) and Watcher(s).
  5. Set Status, Priority and Deadline.
  6. Click Save. The message is "Saved successfully!"

Rules

FieldRuleMessage on error
Titlerequired, at most 255 characters"The title is required and can be at most 255 characters."
Assignerrequired"Please select an assigner!"
Deadlinedate in YYYY-MM-DD form"Invalid date format (YYYY-MM-DD)."
Deleting a task also deletes all of its subtasks, together with comments, documents and labels.

The list

The list can be filtered by title, client company, status and user. A badge in each row shows whether you are the assigner, an assignee or a watcher of the task.

The KML item of the Tasks menu (Kml generator) and the NAV Task screen list NAV tasks by type, company and status; they cannot currently be used for editing.

What happens automatically

  • Recurring task: when a recurring task falls due, the system creates a new task with the period in the title, a shifted deadline and the template's assignees, who receive a notification e-mail.
  • Weekly summary: early on Monday every user with open tasks receives an e-mail of overdue and upcoming tasks per company, with a link to the task list portal.

Example

Anna Kovács (assigner) gives Péter Szabó the task "Invoice the rent" for Sample Ltd., deadline 20 Nov 2026. On Monday the task appears among the upcoming ones in Péter Szabó's summary e-mail.
