Mail templates

Create multilingual mail templates: subject, HTML and plain text body per language, tied to a module and a client company, with variables.

A template is a prepared subject and body, separately for each language. If it is tied to a module, sending from that module fills in the variables (for example amount, due date) automatically; without a module it is used for free mail.

Creating a template

  1. Open Mail → Templates (page title: Email templates).
  2. Click the blue + button at the top right, or the edit icon in the row of an existing template.
  3. Enter the Name. Choose the Module and, if needed, the Event key; for a free mail template leave the module empty.
  4. Leave Client company ID empty to make the template the default for every client.
  5. For each language fill in Subject, HTML body and Plain text body. The form shows which variables can be used.
  6. If the module generates a document you can switch on Attach the generated document and add an Attachment note.
  7. Set Sort order and Status, then click Save.

Rules and messages

  • At least one language needs a subject and a body: "At least one language must have a subject and a body!"
  • The same module and client cannot have two templates with the same name: "A template with this name already exists for the same module and client!"
  • A module that is not in the function catalogue cannot be chosen.
  • A template already in use cannot be deleted permanently; it can only be deactivated or moved to the bin.

Example

You add a "Payment reminder" template in Hungarian and English and choose the balance statement module. When you send a mail from there to Sample Ltd., the subject and body show Sample Ltd.'s debt and due date automatically.
