Issue register: who received which copy

The issue register shows who received which version of which document as a watermarked copy and when; the recipient of a leaked copy can be traced from its watermark code.

Every watermarked download and package issue is recorded item by item in the issue register. If a document turns up where it should not, the watermark code in its corner tells you who received it, when and which version. The register is read-only: rows cannot be added or changed here.

Tracing a leaked copy

  1. Open Document → Issue register.
  2. In Watermark code or issue ID type the code seen on the copy (for example K7Q4-M2XD) or the package ID (for example DL-000123).
  3. Click Filter. The result row shows the document name, the recipient, the folder and the time of issue.
  4. For details click the grey double down arrow at the bottom of the row (Details): it shows the file name in the package, the issued version, the original's size and last change, and the channel (Admin (Folders) or Data room portal).
  5. For the recipient's other issues click the three-dot icon and choose Everything issued to this recipient.

What do the labels mean?

LabelMeaning
version in greenthe recipient received the current version of the document
version in yellow"The document has been replaced since — the recipient has an older version"
AES-256issued in a password-protected, encrypted package
Not issued (cannot be watermarked)the file is neither PDF nor image (for example Word, Excel, video), so it was left out of the package
Prepared, not downloadedthe package is ready but nobody has downloaded it yet

Further filters

You can filter by Recipient, Shared folder, Document name, Requested from, Requested to and Download state. The blue document icon of the row (Every issue of this document) lists all issues of the document, the menu item Every issue from this folder all issues of the folder. The list always starts with the newest issue.

The system does not store the package password; the register only shows that the package was password-protected.

Example

A floor plan leaks with the code K7Q4-M2XD in its corner. Filtering by the code returns one row: "floorplan.pdf", recipient Péter Szabó, issued by Anna Kovács, channel Admin (Folders), 30 Oct 2026 14:12, version in yellow — Péter received an earlier version.
