Documents, backups, translation and updates in the background
Background steps of package unpacking, invoice recognition, text extraction, Drive sync, phone backup processing, AI workflows, content translation and software updates.
Longer document operations do not run in the browser but in the background, in portions. You start them (for example by uploading a ZIP package) and get a notification when they are done. Meanwhile you can keep working.
How to follow background work
- Start the operation in the right place, for example upload an invoice package to the document centre. The screen message tells you that the work runs in the background.
- Open System → Async jobs: it shows the progress, and long work can also be stopped there.
- Wait for the notification under the bell icon (Notifications); for some work you also get an e-mail at the end.
- Check the result: unpacked PDFs and recognised invoices appear in the document centre and the invoice list.
What background work is there?
| Work | What it does |
|---|---|
| Unpacking a package | On upload only a package containing nothing but PDFs is unpacked automatically; any other package is kept as one document. Unpacking started from the document's row unpacks the full content by folder structure. Invoice recognition starts after the PDFs. |
| Invoice recognition | Decides for the documents in the company's recognition queue whether they are invoices and, if so, links them to the invoice. |
| Text extraction | Extracts and stores the document text so that it can be searched. |
| Drive sync | Creates documents from files found in the company's Drive folders that are not yet recorded; starts recognition for new PDFs. |
| Phone backup | Processes an uploaded phone backup step by step: messages, attachments, contacts, calendar, call history, photo locations. |
| AI workflow and translation | Runs AI workflows step by step; translates website content from the source language with AI, keeping links and numbers unchanged. |
| Software update | Checks every few hours whether a new version exists and carries out an approved update step by step; meanwhile the system may be in maintenance mode. |
A package on Drive is downloaded only temporarily, and if the temporary web storage quota is full, the system tries again later. After full success the package is deleted from Drive.
Example
Sample Ltd. uploads an invoice package with 40 PDFs. The PDFs appear one by one in the document centre, then invoice recognition runs on them; at the end a notification under the bell icon reports how many invoices the system linked.
