Deleting and restoring documents
Moving a document to the trash and restoring it, and permanent deletion, which also removes the file from the storage.
The document centre has two kinds of deletion. The usual one moves the document to the trash: it disappears from the list, but the file stays and can be restored. Permanent deletion also removes the file from the storage – this requires a separate right.
Moving to the trash
- In the document's row menu click the red bin icon (Delete).
- Confirm. The document disappears from the list.
A document linked to an invoice, contract or other object cannot be deleted: remove the link first.
Restoring
Users allowed to see the trash can choose the deleted status in the filter to see trashed documents. The row's Restore icon (yellow, turning-back arrow) makes the document active again.
Permanent deletion
- In the row menu click Delete permanently (eraser icon), or the delete button in the header for several documents.
- If the document is in a share folder, the system lists the folders and asks for confirmation. After confirming it detaches the document from them.
- The system deletes the file from the storage (on Drive to the bin or permanently), the further placements, the record and the cache.
Warning: permanent deletion cannot be undone. It does not delete a document linked to an object either.
Example
A colleague uploaded the same photo twice by mistake. Delete the extra copy with the bin icon; if it is needed after all, the administrator restores it from the trash.
