Bank account master: adding accounts and assigning partners

How to add a bank account in one standard form, identify the bank, assign the account to partners and recalculate its balance.

The Bank accounts menu is the shared bank account master. Every account exists in one standard form (8-8-8 digits, IBAN), so transfers, the bank import and payment orders all find the same account. One account can be assigned to several partners.

A new bank account step by step

  1. Open Master datas → Bank accounts and click the blue + button at the top right (Add).
  2. Enter Account number / IBAN: a Hungarian account number (16 or 24 digits, with or without hyphens) or an IBAN. When saving, the system converts it to the standard 8-8-8 form.
  3. Click Identify bank. The system fills in Bank name, SWIFT / BIC and GIRO bank code; if it fails, it shows "Bank not identified".
  4. Check IBAN and Currency. The currency is that of the account itself; a partner can have one default account per currency.
  5. If needed, fill in Ledger account (the fixed general ledger account of this bank account).
  6. Type the partner's name into Assign a partner (type a name, ↑/↓, Enter), move through the matches with the arrow keys and press Enter to choose. The Remove partner button removes the link.
  7. Click Save. The form stays open.

Balance

The Balance is the signed total of the account's finalised transaction documents; bank import rows count only once a document has been created from them. With the Recalculate balance from the transaction documents icon (circular arrows) the system recalculates it in HUF and in the account currency.

The list

  • You can filter by text (Account number, bank name, IBAN…), Currency and status, and by the Company group and Client pair: then only the accounts assigned to the selected companies are shown.
  • The green tick (Activate) and the yellow ban icon (Deactivate) switch one or more selected accounts on or off.

Rules and messages

  • "An account number is required!"; for a wrong number the system reports an invalid bank account and does not save.
  • "This account number already exists in the master!" — the 16-digit and the 24-digit form count as the same account.
  • An account assigned to a partner cannot be deleted: the system lists up to five partners. Remove the links first.
  • If you have no permission for a partner, that assignment is skipped and the system warns you.

Example

Sample Ltd.'s new HUF account is typed as "12345678-12345678". When saving, the system converts it to "12345678-12345678-00000000", Identify bank fills in the bank's name and SWIFT code, and Sample Ltd. is added among the partners. From then on payment orders offer this account as the account to debit.
