Address master: adding and maintaining addresses
How to add, split into fields, correct, deactivate or delete addresses in the shared address master used by partners.
The Addresses menu is the shared address master: an address exists only once and several partners can use it. The system prevents the same address from being added twice and an address in use from being deleted.
Adding an address
- Open Master datas → Addresses and click the blue + button at the top right (Add).
- Fill in Postcode and City — both are required.
- You can type the street part in one piece into Full address (street part) (for example "Bartók Béla út 11-15. 2. emelet 3. ajtó") and split it into fields with the magic-wand button Parse.
- Check the split fields: Street name, Public place type, House number, Staircase, Building, Floor, Door, Lot number, Country.
- Set Status and click Save. The form stays open and the message appears at the top.
Searching and maintenance
- In the list filter you can search by the text typed into Postcode, city, street… and by status.
- Open an existing address with the blue edit icon of its row. On the form the Partners using this address block shows who uses it.
- The green tick (Activate) and the yellow ban icon (Deactivate) switch the address on and off.
Rules and messages
- "Postcode is required!" and "City is required!"
- "This exact address already exists in the master!" — the same full address cannot be added twice.
- An address linked to a partner cannot be deleted: the system says how many companies it is linked to and lists up to five of them. Remove the link at the partner first.
If you remove the address from a partner, the shared master record is kept; only the link is removed.
Example
A new site of Sample Ltd. has to be recorded: postcode 1011, city Budapest, and "Minta utca 1. 2. emelet 3. ajtó" goes into Full address (street part). Parse writes the street name ("Minta"), the public place type ("utca"), the house number, the floor and the door into separate fields. After saving, the address can be chosen on Sample Ltd.'s record.
