Document blocks and invoice numbering
Set up invoice number series per client company: prefix, suffix, separator, sequence width and year. The system issues the next invoice number from it.
A document block defines the format of the invoice numbers a client company's outgoing invoices receive, for example "MK-2026-00042". Numbering runs per year and every series is continuous.
Creating a block
- Open Master datas → Document blocks and click the blue + button at the top right.
- Choose the company in Client company.
- Enter Name, Prefix, Separator and, if needed, Suffix.
- Set Sequence width (number of digits) and the Include year switch.
- Click Save. The preview number in the list shows what the next invoice number will look like.
| Field | Rule |
|---|---|
| Client company | required; only a company you have access to |
| Name | 1–128 characters |
| Prefix, Suffix | at most 32 characters |
| Sequence width | 1–20 digits |
Things to watch
- The prefix must not match the prefix of the company's invoices from other sources (for example the tax authority download), nor the prefix of another block.
- Once an invoice has been issued from the block, the company cannot be changed and the block cannot be deleted; the bin icon is not even shown.
- Each row shows this year's last sequence number and the number of issued invoices.
Example
Sample Ltd.'s block: prefix "MK", separator "-", year switched on, sequence width 5. The 42nd invoice issued in 2026 is numbered "MK-2026-00042".
