Recording a contract and the contract list

Adding a new contract, choosing the main type and direction, setting the term and termination rules, and filtering the contract list and its row actions.

In the system a contract belongs to a client company. On the form you record the parties, the type, the term, the termination rules, the pricing and the contract text; further actions (amendment, termination, completion certificate, sending for signing) start from the list.

Before you start

  • The client company and the partner must exist among the partners, and you need access to the client company.
  • To add the parties' persons, the persons must be linked to their companies — see Parties and persons in a contract.

A new contract step by step

  1. Open Contracts → Contracts and click the blue + button at the top right (Add).
  2. On the Client company card start typing the company name and pick the match (↑ ↓, then Enter). If the company is not yet in the system, add it in a new tab with the button next to the field.
  3. On the Contracting parties card select the main partner; add further parties with the add-party button.
  4. In the contract header set Main type, Sub-type and Direction. The Contract no. field shows live which number the contract will get.
  5. Fill in Subject (name) and — if the contract has been signed — Date of signature.
  6. In the term block enter the start and end, and set Duration type, Auto-renewal, Auto-termination and Ordinary termination.
  7. For a brokerage contract fill in the Real estate brokerage card — see Properties to broker.
  8. Click Save at the top right. The form stays open and the result appears in the message bar.

The contract list

Filter the list by company group, company, main type, sub-type, direction, status, price form, settlement mode, duration type and expiry. The Contracting parties column shows every party; the client company has a house icon, the others a handshake icon. An expired term gets an "expired" badge.

The blue pencil icon (Edit) at the right of the row opens the form. The three-dot More actions menu (only with permission) contains Contract amendment, Completion certificate, Termination, Client registrations and deals, Add annex, Send for signing, as well as enable, disable and delete.

Rules

Saving reports success only if the contract really exists. If the contract value does not match the total of the non-optional items, saving fails. If a person marked as signatory has no signing authority at their company, or an expected role is missing, you only get a warning — the contract is saved.

The contract number is assigned by the system: the next serial number per client company, prefix and year, padded to four digits. An existing number is never overwritten.

Example

Sample Ltd. records a contract as client company with direction "Supplier (purchase)" and sub-type "Real estate brokerage". Choosing the sub-type loads the brokerage defaults: fixed term of 6 months, ends on expiry, ordinary termination, completion certificate required, 15-day payment term. On saving the contract gets the number SZ-2026-0012.
