Bank import: loading statements and the matching engine
How to load a bank statement uploaded to the document centre, what the statement row list shows, and how to run the recognition and matching engine.
Bank import turns bank statement lines into documents. The statement file (OTP or UniCredit XML, Erste CSV) lives in the document centre; you load it from there, and the matching engine recognises the rows from rules and invoices and prepares planned documents for them.
Before you start
- The statement's own bank account must be in the bank account master and linked to a company — otherwise its rows are not shown.
- The statement file must be uploaded to the document centre. You can also upload it from here with Upload statement(s) — the Back button returns here.
Loading a statement
- Open Bank → Bank import.
- Click Load from documents. The panel lists the loadable statements: whose company, whether already loaded, how many rows. Show already loaded also shows earlier ones.
- Choose the client company and click the statement's Load button.
- The system reports how many rows are new, completed or unchanged, which bank accounts are missing from the master and which are not linked to a company. After loading, the matching engine runs automatically.
The statement row list
- Filter by Company GROUP, Client company, Bank account, Date from, Date to and Status (New, Unprocessed (all open), Recognized, Booked, Retry, Manual, Skipped).
- Per row you see the partner, account number, direction, remittance information, HUF and currency amount, the matching rule and the planned document; on a booked row the number, total and match of the related documents.
- The Open invoice list (settlement) icon opens the partner's invoices, the document icon the transactions.
Running the matching engine
- Click the circular arrow button in the header (Run matching engine).
- The engine recognises every new and retry row: first it looks for the system's identifier in the remittance information, then applies the active rules in order, finally matches invoices (invoice number in the remittance, partner bank account, name and amount, card debit).
- If the HUF amount differs from the invoice by 1–2 forints, it adds a rounding item.
If the statement's bank account was added to the master later, Link the unbound statement rows to the bank account master (chain icon) links the earlier rows.
Example
Sample Ltd.'s accountant uploads the October OTP statement and loads it in the Load from documents panel. 84 new rows arrive; the engine recognises 71, which become “Recognized”, and she matches the rest by hand.
