Creating a transfer batch (bank export)
How to collect supplier invoices, manual items and template items into a transfer batch and download the XML file that the corporate netbank accepts.
Bank export collects payable items into a transfer batch: supplier invoices, manual transfers and transfers taken from templates. From the batch the system produces an XML file that both the ERSTE and the UniCredit corporate netbank accept.
Before you start
- The client company's debit account must exist with an IBAN under Master datas → Bank accounts and be assigned to the company.
- Suppliers should have a default bank account in the invoice currency; otherwise the item is added without a beneficiary account.
Building a batch step by step
- Open Bank → Bank export and click the blue + button at the top right (Add batch).
- Fill in Batch name, choose the Client company / debit account pair and the Bank protocol (ERSTE or UniCredit), then click Save. Items cannot be added before saving: "Save the batch first, then add items."
- In the Items part use Add manual item to enter beneficiary, beneficiary account, amount, value date and memo; with Add from template you take over a recurring transfer and only set the value date and the amount.
- Invoices are added from Finance → Invoices: select the invoices, click the Bank export button in the header, choose the batch in Transfer batch (or "--- New batch ---" with a New batch name) and click Add to batch.
- When all items are ready, click Generate bank file in the batch row or on the form. The browser downloads the XML file and the batch status becomes Generated.
- Upload the downloaded file to the corporate netbank.
What the system fills in from an invoice
| Column | Source |
|---|---|
| Beneficiary account | the supplier's default bank account in the invoice currency |
| Amount (HUF) | the outstanding amount of the invoice, or the gross amount if there is none |
| Value date | the payment due date of the invoice |
| Memo | the invoice number and the system's own reference mark; the bank import later recognises the paid invoice exactly from it |
An invoice already in the batch is not added twice; the message says so, for example: "3 invoice(s) added to the batch (1 already in it)." If a supplier has no bank account in the master data, the system lists it by name and the beneficiary account has to be set on the item.
Templates
The Templates button of the list opens a side panel with recurring transfers (for example tax payments). A template can also be made from a statement row under Bank → Bank import with the row action "Save as bank export template (source + beneficiary from this row)". An inactive template cannot be added to a batch; a template referenced by a batch item cannot be deleted.
Rules and messages
- The memo can be at most 140 characters long.
- Only a draft batch can be deleted; a generated batch is kept.
- The downloaded file is not stored in the document centre — keep it, or generate it again.
Example
On Monday the accountant of Sample Ltd. selects six supplier invoices that fall due and puts them into a new batch called "Transfers 20 Nov 2026". She adds a monthly contribution template with HUF 412,300, generates the file with the ERSTE protocol and uploads it to the netbank. When the bank statement arrives, the bank import recognises all six invoices from the memo.
