Recording a termination and processing termination requests
How to record an ordinary, immediate or mutual termination, how to mark the reasons, and how to process a termination request sent by the broker from the data room.
Recording a termination makes the contract inactive on the end date, ends the brokerage rows and closes the data room access. For an immediate termination the reasons must be chosen from those selected in advance on the contract.
Before you start
- The contract must be active.
- For an immediate termination the reasons must be selected on the contract form's Immediate termination reasons card — see Contract master data.
Termination step by step
- In Contracts → Contracts open the row's More actions menu and choose Termination.
- Choose the kind: ordinary, immediate or mutual.
- Choose the terminating party: the principal, the agent, or both for a mutual termination.
- Enter the date of the notice and the end date.
- For an immediate termination mark at least one reason.
- Click Record termination, then generate the document at the bottom of the form.
If the notice deadline has already passed, the form shows a warning.
Termination request from the data room
The broker can initiate a termination in the data room. The request alone does not end the contract: administrators receive a system message and the principal's contacts an e-mail.
- Open the contract and find the request in its history.
- Click Process: the termination form opens prefilled with the request data.
- Check and save; the request becomes processed.
Rules
- Only an active contract can be terminated; the end date cannot precede the notice date.
- For a mutual termination the terminating party must be both parties; for other kinds this cannot be chosen.
- For an immediate termination, if the contract has selected reasons, at least one must be marked, and only from those.
- With a future end date the brokerage rows run at most until the end date.
- The termination document is signed by the terminating party; for a mutual termination by both.
Example
On 1 Dec 2026 Sample Ltd. terminates contract SZ-2026-0012 with immediate effect because the broker contracted directly with the buyer without the principal's knowledge. The reason is marked with clause 8.2 of the contract. After saving the contract is inactive, the brokerage rows end with the reason "Contract terminated", and the broker's data room access is closed.
