Ledger entries: list, manual correction and export

Viewing the ledger entries created from invoices, correcting ledger account numbers and amounts by hand, and exporting the entries to the accounting program.

Ledger entries are created by account coding of invoices: each line with a ledger account number and a net and gross amount. Here you check them, correct them by hand if needed, and produce an export file for the accounting program.

Finding entries

  1. Open Finance → Ledger entries.
  2. Filter by Client Company GROUP, Client Company, Invoice number, Customer, Supplier, Invoice type, Payment type, Export status (All, Exported, Not exported), the date and Currency.
  3. The row's expand icon shows the entry lines. For phone invoices the 70/30 business gross split is shown, for MOL invoices the private use marker.

Manual correction

  1. Click the row's pencil icon.
  2. Correct the ledger account number (2–8 digits) and the amounts. Use Add line for a new line and Delete line for an unneeded one.
  3. Click Save.
The debit and credit totals may differ by at most 0.01. If the entry does not balance, nothing is saved and both totals are shown. After saving the entry is “Not exported” again, so it can be exported again.

Export to the accounting program

  1. Tick the entries to export.
  2. Click the export icon. The system builds an import file for the accounting program and maps payment types to the program's codes.
  3. Exported entries get the “Exported” state.

Delete an entry with the row's bin icon; for an entry created from an invoice, the invoice can be coded again.

Example

On a lease invoice of Sample Ltd. the net leg was posted to the wrong ledger account. The accountant corrects the line to the right account with the pencil icon, saves, and exports the entry again.
