Completing invoices with the partner's full tax number

New invoices automatically get the full tax number from the partner master, and old invoices with only an 8-digit tax number can be completed with one click in the integrity check.

If the customer or supplier tax number on an invoice is only the 8-digit core number, but the assigned partner's master holds the full 11-digit tax number with the same first 8 digits, the system uses the full number. For new invoices this is automatic; old ones can be fixed in the Integrity check report.

Fixing old invoices

  1. Open Reports → Integrity check.
  2. Find the findings of the check "Invoice has only the 8-digit tax number, the partner master has the full one". Each row shows the invoice number, the side (customer or supplier), the tax number on the invoice and the one in the master.
  3. To fix one row click its wrench icon (Complete the tax number from the partner master) and confirm: "Complete the invoice tax number from the partner master?"
  4. To fix several rows tick them and click Fix selected.
  5. The result: "2 invoice tax number(s) completed; 0 skipped (no longer matched the condition or out of scope)."

Rules

  • A fix happens only in the safe case: exactly 8 digits on the invoice, exactly 11 digits in the master, and the same first 8 digits. A different core number is never overwritten; that is a finding of another check.
  • If a row no longer meets the condition, it is skipped: "Nothing was changed: the selected rows no longer meet the condition or are out of your scope."
  • Without a selection: "Select at least one fixable row (tax number completion)."
  • Viewing the report and fixing are separate rights: the report right alone does not allow fixing.
The check can be scheduled: the system also adds a daily run template at 1 am to the scheduled jobs.

Example

On an old invoice of Sample Builder Ltd. (SZ-2024/0815) the supplier tax number is only 12345678. The row appears in the integrity check; clicking the wrench icon changes the invoice's supplier tax number to 12345678-2-41, and the log records the old and new value.
