Chart of accounts: ledger accounts and statement row mapping

Maintaining the central ledger account master: adding an account, classifying it to balance sheet or income statement, choosing the statement row for debit and credit balances, bulk mapping.

The chart of accounts is the system's shared ledger account master. For every classified account you set which balance sheet or income statement row its debit and its credit balance go to — this drives the statement view.

The list

  1. Open General ledger → Chart of accounts.
  2. Filter by Account class, Classification, Mapping (Mapped, Half mapped, Not mapped), Number or name and Status.
  3. The top of the list shows the mapping health: how many classified accounts there are, how many are not mapped, half mapped, or point to a missing or inactive row. If all is well: “Every classified account is mapped”.

Adding an account

  1. Click the + button at the top right.
  2. Enter the Ledger number (1–10 digits, must not exist yet) and the Name (at least 2 characters), and the names in the other languages.
  3. Choose Account kind (Customer, Supplier, Cash, Bank, Opening, Closing, Other, Total), Classification and Currency.
  4. For a classified account set both branches: Debit balance goes to and Credit balance goes to.
  5. Click Save.
Only an active, mappable row can be chosen, and only from the statement matching the classification: “The row belongs to the other statement. Balance sheet accounts map to balance sheet rows.”

Bulk mapping, status, deletion

  • Tick several classified accounts, click Map selected in the header, set the two branches, then Apply. Unclassified accounts are skipped.
  • Switch status with the row's green tick (Activate) or ban icon (Deactivate).
  • The bin icon deletes only if no posting leg and no coding parameter refers to the account; otherwise the system shows how many references exist.

Example

The accountant adds an “Office rent” account in class 5 with income statement classification. Both branches are set to the matching material expenses row of the income statement; the mapping indicator at the top stays green.
