Account coding an invoice and its posting type

How to create a ledger entry from an invoice with one click, and how to change the invoice’s ledger posting type, which selects the coding rule.

Account coding turns an invoice into a ledger entry: the system builds a proposal from the invoice's posting type and the coding rules, and records the entry. The function needs a subscription.

Before you start

A coding rule must exist for the invoice type and partner (Account coding rules), and the right Ledger posting type must be set on the invoice.

Steps

  1. Open Finance → Invoices and find the invoice.
  2. If the posting type has to change, click the row's scales icon (Change the ledger posting type), choose the new type and save.
  3. Click the row's calculator icon (Account coding).
  4. The system creates the ledger entry and shows any warnings. The entry appears under Ledger entries.

Good to know

  • For a lease or subscription invoice the system also writes the validity period onto the invoice; if the period is missing, you get an error.
  • Changing the Ledger posting type needs its own right; without it the type is shown as plain text in the list. The edit right does not replace it.

Example

Sample Ltd. receives an office lease invoice from Example plc. The accountant checks that the posting type is the lease type, then clicks Account coding. The ledger entry is created, and the lease period is written onto the invoice.
