Setting up e-mail sources
How to define which mailbox and which inbox folder belong to which client company, so that the system reads the messages from there.
An e-mail source tells the system which folder of which mailbox to read and into which client company's document centre the attachments go. Without a source nothing is imported.
Before you start
The mailbox must be connected to the system as an API account; only these appear in Mailbox (API account). Gmail is currently the only supported provider.
Adding a source
- Open Email → Email sources.
- Click the blue + button at the top right (Add email source).
- Fill in Name and choose the Client company group and then the Client company. Only companies you have content permission for can be chosen.
- Choose the Email provider and the Mailbox (API account), and type the Inbox folder.
- If needed set Processed sub folder, Failed sub folder, Remove folder label after success, Store the raw message (.eml) and Messages per run.
- Click Save.
Rules and messages
- Name, inbox folder, provider and mailbox are required. Without a mailbox: "Select the mailbox (API account)!"
- One mailbox and folder pair can have only one live source: "This mailbox already has a source for the same inbox folder!"
- A source without a client company can be saved, but you get a warning: the attachments are then not tied to a client.
- The green tick icon in the row activates, the yellow ban icon deactivates the source. Nothing is read from an inactive source.
- Deleting: a source with no imported message is deleted permanently. Once it has messages it cannot be deleted permanently ("Cannot be deleted permanently: 12 message(s) already reference this source. Deactivate it instead."); depending on your permission it only goes to the bin.
Example
Invoices for Sample Ltd. arrive in the "Invoices" folder of a shared mailbox. You add a source "Sample invoices", choose Sample Ltd. as the client company and "Invoices" as the inbox folder. From the next run the attachments of these messages appear in Sample Ltd.'s document centre.
