Statement rows: lines of the balance sheet and income statement

Maintaining the row master of the balance sheet and income statement per version: adding rows, checking sum formulas, visibility by report type, deletion limits.

Statement rows define the structure of the balance sheet and the income statement. One shared row set serves the annual, simplified and micro-entity reports; visibility decides which row appears in which. Ledger accounts are mapped onto these rows.

The list

  1. Open General ledger → Statement rows.
  2. Filter by Schema version, Statement (Balance sheet or Income statement), Report granularity, Row marker / name and Status.

Adding or editing a row

  1. Click the + button at the top right, or the row's pencil icon.
  2. Fill in Schema version, Row number (1–8 digits, unique within version and statement), Row marker (12 characters at most), Name (at least 2 characters) and, if needed, Long name and Level.
  3. Mark whether the row is a Mappable row, a Subtotal row or Heading only.
  4. For a subtotal row enter the Sum formula and click the calculator icon (Check formula). For a valid formula: “The formula is valid.”
  5. Under Visibility by report granularity tick the report types where the row appears; for a visible row you can enter the Official row id.
  6. Click Save. On success: “Success: statement row saved.”

Rules

  • The formula may not refer to a non-existent row or to itself.
  • “An official row id can only be given where the row is visible.”
  • A row cannot be deleted if a ledger account is mapped to it, a generated statement value refers to it, or another row's sum formula uses it — the system lists the references.

Example

A new subtotal row is added to the income statement as the sum of two existing rows. The accountant enters the formula with the two row numbers, checks it with Check formula and saves.
