Recording a transaction document and settling invoices

Recording a bank, cash or miscellaneous document with items and settled invoices, cash instalments, and the opening balance of a bank account.

On the document form you record how much money moved and which invoice it settles. The system reduces the open balance of the settled invoices automatically. For a document started from a bank statement line, the amount must match the statement to the fillér.

Recording a document

  1. Open Bank → Tranzaction. For a new document click the + button at the top right, for an existing one the row's pencil icon. You can also start from a row action in Bank import.
  2. Fill in the header: Client company, Transaction type, Payment type, Bank account or Cash register, Payer or Beneficiary, Currency, and for foreign currency Currency value and Rate source.
  3. Add the items with a name and an amount.
  4. To settle an invoice, pick it in the item's Settled invoice (optional) field, or click Settle invoice(s), select the invoices and then Add to document.
  5. Click Save. The system gives the document a journal number, which identifies it uniquely in the list.

Rules and messages

  • “Warning: At least one item with a name or amount is required!”
  • At most the unsettled amount can be applied to an invoice. For example: “Warning: Invoice SZ-2026-0012 has only 50,000 Ft left to settle, but 60,000 Ft was entered!”
  • For a document started from a statement line, the items must total exactly the statement line, otherwise nothing is saved. If the import row is already booked, the document cannot be saved.
  • In a HUF cash register the system adds a 5-forint rounding item. There is no rounding at the bank.

Cash instalment

  1. Click Cash installment.
  2. Choose the Invoice and Cash register, enter Amount paid, Date and Note. The window shows the Open amount.
  3. Save. The instalment cannot exceed the open amount; the invoice balance is updated at once.

Opening balance

Record a bank account's starting balance in the Opening balance window: Bank account, Date, Amount (HUF), and for a foreign-currency account Amount (in the account currency) and Exchange rate (31 Dec closing revaluation). With missing data: “Warning: Client, bank account, date and a non-zero amount are required!”

Example

Example plc pays two invoices of HUF 120,000 and HUF 80,000 with one transfer of HUF 200,000. The accountant records one document with two items and links each to its invoice. After saving both invoices have an open balance of HUF 0.
