Invoice PDF, invoice image and printing

Generating an invoice PDF, fetching the invoice image from QUiCK or Számlázz.hu, opening attached documents and printing the documents of several invoices in one file.

The files of an invoice — the PDF generated in the system and the invoice image downloaded from an external source — are stored in the document centre and linked to the invoice. From the list you open them with one click, and you can merge the documents of several invoices into one printable file.

Before you start

The client company needs a storage location for invoices: on the company form, in the Object storage block, with object type “Invoice”.
For a QUiCK invoice image the company needs a QUiCK API key; for a Számlázz.hu image the supplier company needs a Számlázz.hu API key.

Generating an invoice PDF

Open Finance → Invoices.
Click the row's PDF file icon (Generate invoice PDF). For several invoices, tick them and click Generate PDF for selected.
The PDF is filed in the document centre and appears among the documents in the expanded row.

The look of the PDF is set on the invoice form by PDF template, Clauses and Note on the document (if you have the right).

Invoice image from an external source

Get invoice image from QUiCK (receipt icon): the system finds the invoice in QUiCK by its number, downloads the image and links it. If the same document already exists, it only links it.
Invoice image from Számlázz.hu (PDF file icon): downloads the PDF the supplier issued in Számlázz.hu and files it in the document centre; recognition runs there.
Upload your own file with Upload invoice image. Unlink document (the document itself is kept) only removes the link.

Printing in one file

Tick the invoices to print.
Click the printer icon (Print documents).
The system merges the PDF attachments into one file and tells you how many invoices, documents and pages it contains. Attachments that are not PDF are left out.

The print file is available for a short time only. If it has expired you see: “This print file is no longer available. Please start the print again.”

Common messages

“The client company has no storage rule for invoices — set it on the company form (Object storage block, object type "Invoice"), then generate the PDF again.”
“The PDF engine is not available.” — the PDF generator is missing on the server; contact the operator.
“The selected invoices have no printable (PDF) attachment.”

The PDF of the notes to the annual financial statements cannot currently be started from the interface.

Example

At month end Péter Szabó prints the ten incoming invoices of Sample Ltd. for the accountant. He filters for the month, ticks the ten rows and clicks the printer icon. He gets one file with every page of the ten invoice images.
