Client registration and the principal's decision
How to record an interested party introduced by the broker with one row per advert, how to accept or reject each row, and how to give the interested party data room access.
The client registration is annex 4 of the brokerage contract: it records whom the broker introduced, when, and for which adverts. One registration is one document; every advert in it is a separate row on which the principal decides separately.
Before you start
- The contract's properties need active adverts.
- The interested company or person must exist in master data.
Recording a registration
- In the Contracts → Contracts list open the row's More actions menu and choose Client registrations and deals (or use the contract actions block on the contract form).
- Click New client registration.
- Choose the interested company and/or person; at least one is required. If you give both, the person must belong to the company. Add a new person with New person.
- Enter the dates: first contact, handover of the offering material, personal presentation, substantive negotiation.
- Mark the broker activities performed with the buttons; other activities can be typed as free text.
- Add the adverts: each advert is a row (e.g. the sale and the lease advert of the same office are two rows).
- Mark the attached certificates and save the form. Load the document text and turn it into a PDF on the card at the bottom of the form — see Document text and PDF.
The principal's decision per row
- On the registration row click I ACCEPT or I DO NOT ACCEPT.
- When rejecting, pick the reason (e.g. "The property is not available") — if active reasons exist, choosing one is required — and confirm with I reject it.
- A one-sided rejection document, to be signed by the principal, is created immediately in the document centre.
The header decision follows from the rows: accepted, rejected, partly accepted or pending. A row linked to a deal, or with an accepted offer, cannot be rejected.
If the party is already registered
Data room for the interested party
On an accepted row the open door icon (Data room access for the interested party) creates a user from the registration's person and opens the offering folder of the row's property from today until the earlier of the contract end and the brokerage row end. The closed door icon (Revoke data room access) revokes it. The access of a rejected row ends automatically.
Example
On 3 Nov 2026 the broker registers Example plc (SZ-2026-0012/REG-1) for the sale and the lease advert of Minta utca 1. Sample Ltd. accepts the sale row and rejects the lease row with the reason "The property is not available". On 10 Nov 2026 another broker registers Example plc for the same property: the person saving gets a warning and the administrators are notified.
