Contract amendment and annexes
How to record a contract amendment with a new expiry date or changed text, and how to add a numbered annex or policy to the contract from a template.
Amendments and annexes are separate, numbered documents next to the contract. An amendment can also change the contract's expiry date; an annex (for example a data protection policy) is part of the contract and visible to the parties.
Recording an amendment
- In Contracts → Contracts open the row's More actions menu and choose Contract amendment.
- Enter the amendment date and its effective date.
- Type the text of the amendment.
- If the amendment changes the expiry, enter the new expiry date.
- Save the form, then load the document text and generate the PDF at the bottom of the form — see Document text and PDF.
With a new expiry date the contract end, the brokerage rows running until the contract end and the data room access follow the change.
Adding an annex
- In the row's More actions menu choose Add annex.
- Enter the title (required), the kind (annex, policy or other), the date and, if needed, a note.
- Choose a template and language: the generic annex or the data protection and data room use policy.
- Save, then create the document with Load from template and Generate PDF from this text at the bottom of the form.
The annex number is assigned by the system per contract. The PDF name is in the document language, e.g. "Annex 2: Data protection policy". The annex is visible to the parties and appears among the contract documents in the data room.
Rules
- An amendment requires the date, the effective date and the text; the new expiry cannot be before the contract start.
- The data of a recorded amendment cannot be changed later, only its document text.
- The annex list in the contract template shows the contract's active annexes.
Example
Contract SZ-2026-0012 would expire on 31 May 2027. On 20 May 2027 you record an amendment with the new expiry 30 Nov 2027. After saving, the contract end and the broker's data room access run until 30 Nov 2027. You then add a policy annex titled "Data protection policy", which receives number 2.
