Completion certificate and receiving the broker's invoice

How to issue a completion certificate for the broker's fee from a deal's payments, how the system calculates fee and VAT, and how to record the broker's invoice.

The broker's fee is due in proportion to the purchase price or rent actually paid. The completion certificate records this from the deal: the system calculates fee and VAT, creates the document, and with one button you can receive the broker's invoice as a draft.

Before you start

  • A deal with its payments must be recorded — see Closed deal.
  • For a lease the deal must confirm that the tenant has paid all obligations due up to handover.

Issuing a certificate

  1. In Contracts → Contracts open the row's More actions menu and choose Completion certificate.
  2. Choose the brokerage row and the deal. For a sale tick the payments you certify.
  3. Check the base; fee and VAT are calculated by the system.
  4. If this completes the full amount, tick that the full amount has been paid — this closes the brokerage row.
  5. Click Issue certificate, then generate the document PDF at the bottom of the form.

Receiving the broker's invoice

  1. On the certificate row click the invoice icon (Receive invoice).
  2. The system creates a draft incoming invoice and opens it in a new tab.
  3. On the invoice form enter the real invoice number, check the dates and attach the invoice.

One certificate has one invoice: if an invoice exists, the button opens it ("This certificate already has an invoice … — it has been opened, no new invoice was created."). The badge on the row shows the invoice number and status.

How the system calculates

CaseBaseFee
sale, business sharetotal of the selected paymentsbase × commission %
lease longer than one yearnet monthly rentmonthly rent × number of months
lease shorter than one yearmonthly rent × termbase × commission %

VAT follows from the VAT code in the broker's tax number: 0% for a broker exempt as a small business, 0% exempt for brokering a business share, 27% for brokering the sale or lease of a property.

The document cites these provisions of the Hungarian VAT Act: small business exemption — section 187; brokering a business share — section 86 (1) f); brokering property — section 82 (1), place of supply: sections 37 and 39.

Rules

  • No certificate can be issued for an ended brokerage row.
  • For a lease only one certificate can be issued per deal.
  • If the base is 0, the system tells you what is missing (monthly rent, term or payments).
  • Receiving the invoice requires access to both the contract owner and the principal.

Example

Sale: for the HUF 12,000,000 deposit certificate SZ-2026-0012/TI-1 is issued; fee 12,000,000 × 1.5% = HUF 180,000 + 27% VAT. Short lease: monthly rent HUF 400,000, term 6 months, base HUF 2,400,000, fee 5% = HUF 120,000, VAT HUF 32,400, gross HUF 152,400. When the invoice is received, the draft's temporary number is DRAFT-SZ-2026-0012/TI-1.
