Automatic pass-through of lease costs
From cost invoices received for a leased property the system creates a draft outgoing invoice to the tenant with a markup.
When cost pass-through is switched on in a lease contract, the system watches the cost invoices received for the property (for example utilities) and creates a draft outgoing invoice to the tenant from each, with the given markup. You check and finalise the draft.
Set-up
- On the property's data sheet (Master datas (Google / AI / WIP) → Properties) fill in Cost-invoice match value or Connector label: this is how the system recognises that an incoming invoice belongs to this property.
- Open the lease contract (Contracts → Contracts → blue edit icon) and choose the Property.
- Switch on Auto cost pass-through, enter Pass-through markup % and choose the Generated invoice mode.
- Click Save.
What happens next?
- Every few minutes the system reviews the received cost invoices, and if an invoice belongs to the property by the connector value, it schedules the pass-through. An invoice is passed on only once.
- Then the draft outgoing invoice to the tenant is created: with the lines of the source invoice, the markup and the contract number.
- The draft appears among the invoices; check it before issuing.
Example
Sample Ltd. leases the flat "1011 Budapest, Minta utca 1" to Example plc with a 5% markup. An electricity invoice of HUF 20,000 arrives that belongs to this property by its connector value. A few minutes later a draft invoice of HUF 21,000 to Example plc appears, carrying the contract number.
