Account statement, e-mail and payment demand letter
Producing an account statement PDF for one partner from the filtered items, sending it by e-mail, and generating a printable payment demand letter.
The account statement summarises a partner's open items (principal and interest, overpayments) in a PDF. It is filed in the document centre, can be sent by e-mail, and a printable payment demand letter can be produced with it.
Before you start
- In the filter choose the issuing Client Company and the Partner.
- The client company needs a storage rule for documents (company form, Object storage block).
- For a demand letter, a payment demand letter template must exist among the mail templates.
Producing the statement
- Open Finance → Settlements & Interest.
- Filter for the client company, the partner and the Open as of date.
- Choose the Document language.
- Click the PDF icon below the filter (Account statement PDF (filtered)).
- The PDF is filed in the document centre and linked to the client company; the system shows the document ID.
Sending by e-mail
- Click the envelope icon (Statement by e-mail).
- The system's shared mail form opens with the payment demand template; check the recipient and the text.
- When sending, the system produces the statement with the approved text and attaches it.
Payment demand letter
- Choose a partner in the filter — the letter is addressed to one company.
- If needed, edit the text with Compose letter.
- Click the red Demand letter (paper) button. The letter is produced with the statement, with a 15-day payment deadline, signatories and a list of annexes.
Common messages
- “Warning: No partner could be identified for the account statement!”
- “Warning: The current filter returns no open item to put on the account statement!”
- “The demand letter needs a partner: select one in the filter, because a letter is addressed to one company.”
The overpayment refund transfer file (HCT/GIRO) cannot currently be started from the interface.
Example
At quarter end Sample Ltd. sends a statement to Example plc. The accountant chooses Sample Ltd., Example plc and 30 Sep 2026 as the cut-off date, then sends it with Statement by e-mail; the PDF also stays in the document centre.
