Account coding rules

How to record which ledger accounts (net, VAT, gross) an invoice line goes to in general account coding, selected by invoice type, customer, supplier and item name.

An account coding rule tells the general coding which ledger accounts an invoice line goes to. The rule is selected by invoice type, customer, supplier and item name.

Adding a rule

  1. Open Finance → Contir Rule and click the + button at the top right.
  2. Choose Invoice Type, Customer and, if needed, Supplier.
  3. In Match Type choose: by item name, without supplier, or without item name.
  4. For an item name match fill in Item Name.
  5. Fill in Net Ledger Account, VAT Ledger Account, Gross Ledger Account (contra), VAT Deductibility and Posting Name.
  6. Click Save.

If you start from an invoice, the form is pre-filled with the invoice data; use Back to Invoice to return.

Required fields

With missing data nothing is saved: “Warning: Invoice type required!”, “Warning: Customer required!”, “Warning: Item name required!”, “Warning: Net ledger account required!”, “Warning: Gross ledger account required!”, “Warning: Posting name required!”

According to the code, editing an existing rule does not currently work reliably.

Example

Sample Ltd. wants every incoming invoice with the item “office lease” posted to the rent ledger account. The accountant adds a rule for the incoming invoice type, Sample Ltd. as customer and the item name “office lease”, with the net, VAT and supplier contra accounts.
