Analytic breakdown of invoice lines
How to split the amount of an invoice line between the codes of dimensions (such as property or project), also month by month, and how to add a new code from the breakdown window.
The analytic breakdown splits the amount of an invoice line between the codes of dimensions — for example which property or project the cost belongs to. For periodic invoices the split can also be made per month. The breakdown feeds the reports.
Before you start
At least one dimension must exist under Master data → Labels (key type: Dimension), with codes in it. Otherwise the window shows: “No dimension is configured yet. Add one under Master data, Labels: set the key type to Dimension.”
Breakdown step by step
- Open Finance → Invoices and expand the invoice row.
- Next to the line click the Analytic breakdown icon (calendar). The window header shows Line value (net), Allocated and Unallocated.
- Click Add allocation, choose Dimension and Value (code), and enter the amount or the percentage.
- If the settlement period covers several months, Split monthly divides the amount between the months pro rata by days.
- If a code is missing, enter Code name (32 characters at most) under New code and, if needed, a Parent (optional) code from the same dimension.
- Click Save. On success: “Success: The line data has been saved!”
Rules
- A partial allocation is allowed: the remainder stays unallocated and is not assigned to any code automatically.
- The allocation may not exceed the line value.
- “Warning: the allocation must have the same sign as the line. A negative line (for example an advance settlement) can only be split into negative amounts, a positive line only into positive ones.”
- “Warning: The same code may only be used once within one dimension!” — the same dimension, code and period cannot appear twice.
- For a period not longer than one month the monthly split does not run: “Warning: The settlement period does not cover more than one month, so there is nothing to split.”
In a percentage-based dimension the percentage is stored and the amount follows the line value; in an amount-based one the amount is stored as entered.
Example
Sample Ltd. receives a maintenance invoice of HUF 300,000 net for two properties. In the “Property” dimension it assigns HUF 180,000 to the “Main street” code and HUF 120,000 to the “Sample street” code. The unallocated amount is HUF 0 and the save succeeds.
