Watermarked download from the data room

Downloading one document or a whole folder from the data room portal: every file watermarked with the recipient's name and a unique code, in a ZIP with a table of contents.

If a folder and the document in it are set as downloadable, you can download files one by one or the whole folder at once from the portal. Every downloaded file is watermarked with your name, the date, the "Confidential" mark and a unique code, so every issued copy can be traced.

Downloading

  1. Sign in to the Shared documents portal and open the folder. Downloadable folders and documents are marked Downloadable, the others View only.
  2. Click Download on a document, or Download all for the whole folder.
  3. Wait while the window shows "Preparing the watermarked copy…". The status refreshes by itself.
  4. When "Your watermarked copy is ready." appears, click Save.

What to watch

  • Only PDF and image files can be downloaded with a watermark. Other files are left out and the window lists them: "Not included (cannot be watermarked): …". If no file can be watermarked: "None of these files can be watermarked (only PDF and image files can be downloaded)."
  • Several files arrive in one ZIP named after the folder; a table of contents in it lists the codes of the issued copies and the files left out.
  • The finished package can be downloaded for 24 hours, and only while you still have access to the folder. After expiry: "This download link has expired — please request it again."
  • If every file in the folder is set to view only: "There is nothing downloadable in this folder: its files are set to view-only in the document library."
The unique code in the watermark identifies the downloaded copy. If a file turns up somewhere it should not, the code shows to whom and when it was issued.

Example

Péter Szabó downloads the folder "Technical documentation". It contains 5 PDFs and a spreadsheet. Half a minute later he receives the ZIP with 5 watermarked PDFs; the table of contents marks the spreadsheet as left out.
